Office Outlook Web Access Orientation

Overview
On December 3, 2009, LACA switched all accounts from Exchange 2003 to Exchange 2007.  This will change the Outlook Web Access interface a bit.  This page is a not a full tutorial on using the new Outlook Web Access, as most things still operate the same.  This page is meant to point out major differences between the old Outlook Web Access and the new, to get everyone comfortable with these changes .

First Time Logging In
 
The first time you log in, you will be asked to set your options for language and time zone. The defaults should be English and Eastern Time, so simply click OK.  This can be changed later if necessary by going to Options...Regional Settings.
 

Getting Help
 
Click the Help icon in the upper right to get full on-line help for Office Outlook Web Access.


Changing Reading Pane and Message List Views
 
By default, the first time you log into Office Outlook Web Access, your screen will be set up to show the message pane on the right, and your messages will be shown in a 2-line view, like the screenshot below.  This may not be how you had it set in the old Outlook Web Access.  If so, click the areas indicated in the diagram below to change these two items. The second screenshot below is an example with the reading pane on the bottom and a single-line view for the message list.


Navigating Through Multiple Pages of Messages
 
The box that shows what messages you are viewing, and the navigation arrow to move from page to page have changed. They used to be at the top of the screen in the old Outlook Web Access.  They have moved below the list of messages in the new Outlook Web Access.


 


Options
 
The options button has moved from the lower left in Outlook Web Access 2003  to the upper right of the toolbar in Office Outlook Web Access (2007), as shown in the diagrams below
.

Changing Your Password
 
Click Options, then use the Change Password link on the left.  Follow the directions in the diagram below to change your password.

 


Messageware NavGuard
 
Messageware Navguard prevents you from browsing away from Outlook Web Access and leaving yourself logged in.  This presents a security risk, especially if you are checking e-mail on a shared computer.  If you are in OWA, then you browse to another site, you are still logged in, and anyone visiting that computer could click the "Back" button in the browser and get into your e-mail.

Navguard makes sure you are logged out by displaying the following screen and asking you to log off before leaving the OWA site.

 


Checking for New Messages
 
To check for new messages, click the Check Messages icon in the toolbar.  This is the preferred way to check for new mail, rather than using your browser's Refresh button.  The Refresh will cause a Messagware Navguard warning, while the Check Messages icon will not.


Sharing Calendars
 
The calendar functions have been expanded.  You can now manage who can see your calendar and what permissions they have through the OutlookWeb Access interface (previously, this needed to be done through an Outlook client).
 

Empty Deleted Items
 
There is no longer an icon on the toolbar to empty the deleted items folder.   Instead, you now right-click the "Deleted Items" folder itself and choose "Empty Deleted Items".  In Options, you can also choose to automatically empty the deleted items folder when you log out.  Just select the "Deleted Items" setting on the left, then check the box for "Empty the Deleted Items folder on logoff", then click "Save".
